How do I register for the GenV Research Portal?

To register, you will need to use your organisational email address and complete the online registration process. Once your email address has been verified and your registration approved, you will be able to log in and access the Research Portal. If you are the first person registering from your organisation, GenV may need to review your email domain before registration can be completed.

How do I apply for access to GenV data or biosamples?

Applications are submitted through the GenV Research Portal using a three-step process:

1. Proposal overview form
2. Applicant and organisation form
3. Detailed access request

You can track the progress of your application and communicate with the GenV team through the portal.

Can I apply for data and biosamples in the same application?

Yes. The GenV application process allows you to request data, biosamples, or both within a single application. Your Detailed access request should describe all data and biosamples required for your proposal.

Can I apply before I have ethics approval?

Yes. You can begin the application process before ethics approval is in place. However, ethics approval must be obtained before access to GenV data and/or biosamples can be provided

Can I apply before I have secured funding?

Yes. You do not need to have funding secured before discussing your proposal with GenV or commencing a data access request. In some cases, GenV may be able to support funding applications through a collaborative research approach.

If I am requesting linked data, do I also need to submit a data access request to the data custodian?

No. If your request includes linked data, GenV will manage the required requests and approvals with the relevant data custodians on your behalf as part of the access process.

After you apply

What happens after I submit my application?

After you submit your Detailed access request, GenV will review your application to ensure all required information has been provided and to assess the request against relevant governance, ethics, consent, and access requirements. You may be contacted if additional information or clarification is needed.

You can track the status of your application through the My Applications page in the Research Portal.

How long does it take to review my data and biosample access request?

Review timeframes vary depending on the complexity of your request, the data and biosamples requested, and whether additional approvals are required.

After you submit your Detailed access request, GenV will contact you if further information is needed and will keep you informed of progress through the Research Portal.

What happens once my request is approved?

Once your request is approved, GenV will begin preparing the approved data and/or biosamples and you will be asked to complete any required onboarding activities before access can be provided. Onboarding will include online training and signing of relevant agreements.

The time required to receive data or biosamples varies depending on the complexity of the request, any linked data requirements, and whether biosamples need to be processed or retrieved. Progress can be tracked through the Research Portal.

Can I add team members or make changes to an approved proposal?

The Project Lead can add team members to an approved proposal via the My Team page on the Research Portal.

Any changes to the approved proposal must be discussed with GenV before they are implemented. Depending on the nature of the change, you may need to submit an amendment or a new data access request. GenV data and biosamples can only be used for the purposes for which access was approved.
